Onboard a person onto the platform

Lay the groundwork for a person using, gaining value from and developing themselves within the platform.

Copy to your organization

Ensure that the roles and role expectations assigned to the person are valid and useful

Before inviting the person into the platform, ensure that:

  • The roles assigned to them reflect the roles they are expected to practice
  • The purpose of those roles is clear
  • The expectations associated with those roles are reasonable, up-to-date, accurate and easily understood
  • The skillsets expected of those roles and their associated proficiency levels are specified in association with the roles
Invite the person in to indicate their familiarity

Navigate to the profile of that person and click the "Send invite email" button in the right column. This will take you to an email invitation template you can optionally make adjustments to before sending it out.

Depending on their expected work load, communicate an expectation (either in writing or verbally) of when you would like for them to have completed indicated their familiarity. Set that deadline as the deadline for the task Ensure 100% awareness of role expectations.

Ensure 100% awareness of role expectations

Ensure that the person has reached 100% awareness of their role expectations.

If awareness is not achieved within the agreed upon timeframe, you can nudge the familiarity process by navigating to the Focus-dashboard of that person and clicking the "Request missing familiarity" button.

Set proficiency levels of expected skillsets

Ses Skillsets with insufficient proficiency for more information on how to do this.

This task is best assigned to someone who has a clear grasp of the person's proficiency levels, meaning probably their leader or the person themselves.

Set ambitions and expectations in focus

You now have a lot information about the expectations, individual adherence to and support needs of this person via:

  • Familiarity levels
  • Expectations the person has indicated that they want help with
  • Expectations that the person has indicated they find unclear
  • Skillsets they have insufficient proficiency in

Use this information as the basis for deciding which ambitions and expectations to put in focus for this particular person.

This exercise is preferrably done as a dialouge between the person and their leader.

Establish a habit/reminder for checking Wecomplish regularly

Wecomplish is one of potentially multiple systems the person is expected to use on a daily basis, but in the beginning, when the system is new and unfamiliar, checking the system won't be as intuitive and automated as checking your email.

Assign this task to the person in question and ask them to mark it as complete once they've added a comment about how they plan to ensure a regular check of the system for new expectations and priorities until they have automated its usage.

Some recommendations include:

  • Setting a daily calendar reminder to check the platform in the calendar application of your choice
  • Habit stacking, meaning that you check the platform as a part of other systems you check daily (like email)
  • Bookmarking the platform and/or ensuring that the platform is opened automatically when you open your browser
Schedule a recurring, structured check-in

In order to make sure that expectations and ambitions remain top of mind and relevant, it is recommended to schedule a recurring, structured check-in with the person.

Here are some scheduling recommendations intended to inform the creation of a recurring calendar invite:

Participants

Check-ins are normally conducted between the person being checked in with, and their leader.

If the leader is inaccessible (or the person does not have a leader) a check-in can also be administered by another colleague, coach or mentor who understands the intent behind the check-in process.

Frequency

For the check-ins to feel relevant and remain top of mind, it is recommended for the check-in to reoccur either weekly or bi-weekly.

  • You get the proper training and support you require to grow and thrive

Please ensure that your priorities, as you understand them, are updated in advance of the check-in, as that will make the check-in more valuable and efficient.
